Campos Equipment LLC is growing and we're looking for a Fleet & Equipment Admin to join our team in Denver and this will be a hybrid position. The Fleet / Equipment Administrator is responsible for the day-to-day administration, maintenance coordination, and performance tracking of the company’s fleet vehicles and equipment. This role ensures that all fleet and equipment assets are safe, reliable, cost-effective, and compliant with federal, state, local, and company regulations. The position supports preventive maintenance programs, vendor coordination, data tracking, and lifecycle management to maximize uptime and operational efficiency.

Key Responsibilities:
  • Maintain and update fleet and equipment records, including hours, mileage, inspections, and maintenance history, to ensure adherence to preventive maintenance (PM) programs.
  • Coordinate and oversee routine maintenance, inspections, and repairs with internal teams and external vendors to minimize downtime and control costs.
  • Monitor fleet and equipment condition to ensure all assets are safe, reliable, and operational.
  • Ensure compliance with all applicable federal, state, and local regulations, including DOT, OSHA, and company safety and maintenance policies.
  • Track, analyze, and report fleet performance metrics such as fuel usage, maintenance costs, utilization, and repair trends.
  • Assist in developing, implementing, and improving preventive maintenance schedules, procedures, and best-practice policies.
  • Support vehicle and equipment lifecycle management, including acquisition, assignment, replacement planning, and decommissioning.
  • Maintain accurate documentation for inspections, maintenance, warranties, registrations, and regulatory compliance.
  • Communicate effectively with operations, safety, and management teams regarding fleet status, issues, and improvement opportunities.
  • Assist with budgeting, forecasting, and cost-control initiatives related to fleet and equipment operations.
  • Provide training or coordination support to maintenance staff or operators to ensure proper equipment use and upkeep.
  • Respond to urgent or after-hours maintenance issues as needed to support business operations.

Required Qualifications:
  • Proven experience in fleet administration, vehicle maintenance, equipment maintenance, or a related field.
  • Working knowledge of preventive maintenance programs, vehicle/equipment repair processes, and safety standards.
  • Strong organizational skills with the ability to manage multiple assets, vendors, and priorities simultaneously.
  • Proficiency with Microsoft Excel and other data tracking or reporting tools.
  • Ability to analyze maintenance and operational data to support informed decision-making.
  • Excellent communication, documentation, and problem-solving skills.

Preferred Qualifications:
  • Experience with fleet management or asset management software systems.
  • Familiarity with DOT, OSHA, and other regulatory compliance requirements related to fleet and equipment operations.
  • Background in construction, utilities, transportation, or heavy equipment environments.
  • Basic understanding of budgeting, cost analysis, and vendor contract management.
  • Associate’s degree or relevant technical training in fleet management, automotive technology, logistics, or a related field.

Work Environment:
  • Combination of office and field/jobsite environments.
  • May require flexibility in schedule to address urgent maintenance or operational needs.
  • Occasional travel to vendor locations or job sites may be required.
